Room Reservations: Policies & Procedures

The Noel Studio for Academic Creativity allows EKU faculty and staff and Registered Student Organizations to reserve and use our classrooms when they are not in use by the Noel Studio.

Please visit to see a list of reservable Noel Studio spaces and their specifications. Please select a room appropriate for your event, as we cannot accommodate set-up or technology requests outside of the room’s standard equipment. The Noel Studio reserves the right to suggest a more appropriate room than the requested room based upon set-up needs, intended use, group size, etc.

Scheduling Noel Studio Classroom Spaces:

  • Reservations may not be placed more than two weeks in advance.

  • Reservations are filled on a first-come, first-served basis.

  • Noel Studio spaces cannot serve as the primary classroom location.  

  • Rooms will be scheduled within two business days of the request and a confirmation will be emailed to the requestor.  

  • When the reservation is for an event to be held within two business days of the current date, reservations should be made in person or by calling the Noel Studio at 859-622-7403 Monday through Friday, between the hours of 8am and 4:30pm.

  • Rooms can be scheduled up to three hours per day and up to three days per week. Reservations are limited to five reservations per organization/course per semester.

  • When selecting a room, please select a room appropriate for your event. If the Noel Studio’s spaces do not meet your needs, EKU Libraries offers additional options:

  • The Noel Studio does not provide laptops or adaptors (e.g. Mac adaptors) for presenters or attendees. EKU Libraries and IT provide equipment checkout.

  • Registered Student Organizations must have the permission and knowledge of the faculty advisor. The Noel Studio requires RSOs copy their faculty advisor on the reservation form.

  • Noel Studio staff can deny reservation or use of a room based on the treatment of the space during a prior reservation. If damage to the room, its furnishings, or equipment occurs during a meeting, the Noel Studio may require the patron(s) or group who is responsible to pay for damages.
