In adherence to COVID-19 campus protocols, the Noel Studio and Libraries will require all visitors (regardless of vaccination status) to be masked while using our spaces and services, beginning August 15, 2021, and until further notice. Students who cannot adhere to masking guidelines for any reason, including medical reasons, should make use of our online consultations.

How to Schedule A Consultation

STEP 1: Logging into the Noel Studio Consultation Scheduling Platform

Select or click on the Schedule or Join a Consultation icon on this page or on the Noel Studio homepage (www.studio.eku.edu):

Your username and password is the Microsoft Azure single-sign on already in use for logging into Blackboard, EKU Direct, EKU MyMail, Google Drive, NuPark and many other EKU online accounts. For example:

  • Username: jane_doe21@mymail.eku.edu
  • Password: your password is the same across all Azure logins.

If you have never made a Noel Studio appointment, you will be asked to register your account before you can begin scheduling appointments.

STEP 2a: Selecting the Correct Summer 2021 Schedule - DAY (ONLINE or IN-PERSON) or NIGHT & SUNDAY (Online Only)

Use the drop-down menu in the top (blue) header to select the correct schedule for your preferred consultation format.

  • Choose "Mon. - Thurs. 8am - 5pm | Fri. 8am - 1pm" if you want to meet with a consultant between the hours of 8am and 5pm (Eastern Time) Monday through Thursday or 8am and 1pm (Eastern Time) Friday. Both ONLINE (Zoom) and IN-PERSON consultations are available during this time; you will be prompted to select ONLINE or IN-PERSON when you schedule your appoitment. 
  • Choose "Mon. - Thurs. 5pm - 9pm | Sun. 1pm - 9pm" if you want to meet with a consultant between the hours of 5pm and 9pm (Eastern Time) Monday through Thursday or 1pm and 9pm Sunday; consultations are offered ONLY ONLINE during these hours.

STEP 3: Selecting an Consultation Date and Time

Once registered and/or logged in, you will see consultation availabilities for the current semester organized by date, consultant, and time. You can use the PREV WEEK | CURRENT WEEK | NEXT WEEK menu (marked in the image below) or the calendar icon to navigate to your preferred date. Available time is represented by small white boxes; each box represents 15 minutes. Identify an hour-length slot (four white boxes) that works for you and select or click on the white box that corresponds with the date and start-time you want to reserve:

PLEASE NOTE: Our online booking system will not allow students to schedule their own online consultation unless a full hour is available/open following the selected start time for the appointment. Consultation availability is broken down into 15-minute increments, which means that there must be at least four white blocks in a row to schedule an appointment; otherwise, you will receive an error message stating the selected time is already booked or otherwise unavailable. You will receive a similar error message if you select a starting time that is less than thirty minutes away; if the consultation slot you need starts in less than 30 minutes, you can request that time in-person or via the chat box located at studio.eku.edu

STEP 4: Completing the Appointment Form

Once you have selected a full hour-length consultation slot, a new window with the appointment form will pop-up (you may have to turn off or pause your pop-up blockers). This appointment form is where you can tell us more about your assignment (e.g. course, instructor, type of product, due date, what you’d like to focus on). Use the “Comments” box to share additional information about your assignment and/or needs (e.g. I need help brainstorming, I’m worried about APA formatting, I’d like to practice my speech and get feedback, etc.). This is also where you will choose whether to meet IN-PERSON or ONLINE if you are using the "F2F & ONLINE Consultations - SEMESTER YEAR" (i.e. 10am - 4pm) schedule.

STEP 5: Saving Your Appointment

Select or click on CREATE APPOINTMENT. You should receive an on-screen confirmation and an automated email confirmation to your EKU email address. Please note that a Zoom Meeting Room link will be included in your appointment confirmation and reminder emails even if you select to meet IN-PERSON (automated reminders are sent the day before your appointment), and is also listed in the LOCATION field of the Appointment form (see image below). If you selected to meet IN-PERSON, simply ignore this Zoom link and just check in at our reception desk 10-15 minutes prior to the start of your consultation (see STEP 7).

If you do not see the confirmation and/or reminder emails in your inbox, check your JUNK/SPAM/CLUTTER folders. These emails include the Zoom Meeting Room link for your online consultation, links to directions on how to access and/or prepare for your online consultation, and/or links to information about using your EKU G-Suite Drive for Education.

STEP 6: EKU's G-Suite Drive for Education (Before and During Your Appointment)

Make sure your writing/communication project is in a Google Doc/Slides/Jamboard within your EKU G-Suite (Google) Drive for Education, and set your document permissions to allow comments and edits. This applies to both ONLINE and IN-PERSON consultations (to help ensure we adhere to any physical/social distancing requirements when necessary).

You MUST use your EKU G-Suite (Google) Drive for Education for Noel Studio online consultations, which means you will have to log out of any other non-EKU Google accounts and log in using your EKU email and password combo.

Click the "Share" button at the top right of the page, near your picture/avatar/icon;

Select the GET LINK area. Does it say “Eastern Kentucky University Anyone in this group with this link can edit”? If so, great! If not, use the CHANGE option to ensure your document has the correct settings:

Then use the drop-down menus to select “Eastern Kentucky University”and “Editor”; you can then select “Done” to exit this menu:

If you aren’t familiar with your EKU G-Suite Drive for Education*, visit https://it.eku.edu/gsuite_account and/or https://it.eku.edu/gsuite_drive. If you are unable to set up your work in the appropriate EKU G-Suite Drive for Education platform prior to your online consultation, your consultant can assist during the online consultation.

*The EKU G-Suite includes all the same tools as generic Google Drive: Google Docs (for papers), Slides (for presentations), Jamboard (for brainstorming), etc.

STEP 7: Joining Your Consultation

ONLINE (ZOOM & EKU G-Suite/Drive)

The Zoom link for your online consultation is in the LOCATION field of the Appointment Form after you save your appointment. It also should be included in your Noel Studio online consultation confirmation/reminder emails (if these aren’t in your inbox, check your JUNK/SPAM/CLUTTER folders). You will need to share the EKU G-Suite Drive for Education link to your work with your consultant once you are in the Zoom meeting. IN-PERSON

IN-PERSON consultations take place in the Noel Studio, which is located in the Main Library on EKU's Richmond campus. Students should check-in with the Desk Consultant at our reception desk (located under the spiral staircase) 10-15 minutes prior to the start of their consultation; if you do not check-in, we will not know you have arrived for your consultation.

Additionally, students are still asked to upload (copy+paste) their work into a Google Doc/Slides/Jamboard prior to the consultation. Students and consultants will then work in the Google Doc/Slides/Jamboard together from separate computers. There are a limited number of computers in the Noel Studio, so students should consider bringing their own computer to their consultation(s) when/if possible.
